Quick answer

Send every bidder the same dimensions, viewing distances, environment, content, operating schedule, inputs, mounting conditions, destination and acceptance tests. Move each response into one sheet. Mark every item as included, excluded, optional or unclear, then price the gaps. The lowest per-square-metre figure is meaningful only when the bill of materials and delivery scope match.

Start with a bid brief

EagerLED asks indoor buyers for room dimensions, viewing distance, content type, operating hours, mounting method and target delivery date (EagerLED). Add site photographs or drawings, required active size, nearest and farthest viewers, camera use, source list, power information, service access, destination and desired warranty response.

State which requirements are mandatory and where alternatives are welcome. A bidder can then show a compliant base offer and a separately priced alternative without silently changing pitch or dimensions.

Normalize the technical offer

Reject ambiguous equivalents. If the seller reserves the right to substitute components, require approval and a revised data sheet before shipment.

Normalize the commercial scope

Copy hardware, processor, spares, structure, electrical work, packing, freight, insurance, customs, tax, installation, travel, commissioning and support into separate rows. Convert currency using one recorded planning rate, while retaining the original quoted amount and validity date.

For international orders, state an Incoterms 2020 rule and named place. The ICC rules allocate defined obligations, costs and risks across eleven trade terms (ICC). They do not replace a detailed packing list, delivery schedule or specification.

Examine who carries integration risk

Direct-view LED projects need coordination between manufacturer and integration teams; Samsung makes that point in its partner training material (Samsung). Ask who owns the cabinet map, structural interface, power design, signal path, processor configuration and final calibration. If several companies are involved, name the party responsible for resolving cross-vendor faults.

Score support with evidence

Ask each bidder to describe a failed-module case from detection to restored image. Record remote-support hours, site response, labor coverage, parts location, return freight and exclusions. Verify the warranty entity and governing terms. “Local support available” is incomplete without the provider, location, response and price.

References from comparable installations can help, but ask about the same product family and application. A stadium reference says little about a close-view control room.

Put acceptance in the order

Use measurable checks agreed before shipment:

  • dimensions and cabinet count match the approved drawing;
  • supplied models and serials match the bill of materials;
  • every source displays at the approved mapping;
  • brightness presets, uniformity and calibration are accepted;
  • camera test passes at agreed settings where camera use applies;
  • failover and restart procedures work as specified;
  • spares, files, passwords, drawings and training are delivered.

Keep a defect list and a defined correction period. Final acceptance should follow correction, not power-on.

How many quotes should a buyer request?

Enough to expose alternatives and outliers while allowing serious technical review. Quality of comparison matters more than collecting a large stack of incomparable proposals.

Should an unknown line be treated as included?

No. Mark it unclear and obtain a written answer. If a deadline forces budgeting before clarification, carry a visible allowance rather than assuming zero.

Can a supplier’s “equivalent” be accepted?

Only after receiving the exact model, data sheet, changed specifications, price effect and warranty impact. Approve the substitution in writing.
