Separate ongoing cost into landed logistics, energy and maintenance. Freight needs an exact packed volume and weight, trade term, named destination, insurance and import scope. Energy needs product-specific typical and maximum power data plus local operating assumptions. Maintenance needs accessible components, on-site spares, cleaning, remote support and priced labor after warranty.

Turn “shipping included” into a landed-cost scope

Ask for the number of crates or flight cases, dimensions, gross weight, packing material, pickup point, mode, route, named destination and estimated transit. Add origin charges, main carriage, insurance, destination handling, customs brokerage, duty, tax, storage risk, final delivery and unloading as separate lines.

Use an Incoterms 2020 rule with the named place or port. The ICC describes eleven rules covering specified buyer and seller obligations, costs and risks (ICC). The rule does not tell customs officials the product classification or duty rate. Obtain destination-specific advice from a broker rather than copying another buyer’s rate.

Before dispatch, require packing photographs, a serial-number list and insurance documents. At arrival, inspect crates before signing, photograph damage and follow the carrier’s claim procedure.

Build an energy scenario from the offered model

Power varies by product, pitch, brightness and content. EagerLED’s older E-series sheet reports average power of 160 W/m² for indoor P2.97, 192 W/m² for indoor P3.91, 240 W/m² for outdoor P3.91 and 190 W/m² for outdoor P4.81. It reports respective maximum values of 480, 576, 720 and 560 W/m² (EagerLED data sheet). The source date is not specified and the numbers apply only to those listed models.

Calculate a planning scenario as:

active area × supplier-stated average kW/m² × operating hours × local currency/kWh

Show the area, product data, schedule, tariff date and currency beside the result. Use maximum power for electrical design unless the responsible electrical designer specifies another method. Samsung’s April 2020 XPR Series data sheet, for example, lists the XPR-E P10 at 270 W/m² typical and 1,000 W/m² maximum, while the XPR-E P20 is 160 and 480 W/m² respectively (Samsung XPR data sheet). The model-level differences make one generic W/m² assumption unsafe.

Price maintenance before the warranty ends

Store modules in the conditions stated by the manufacturer. Keep the cabinet map, configuration files and calibration data in an owner-controlled backup. Log failures by serial number; this helps identify a batch or environmental problem instead of treating each fault in isolation.

Plan for access and interruption

Rear-service cabinets need clearance and a safe work route. Front-service cabinets still need room to remove modules and internal components. Outdoor structures may require lifts, lane closures or work permits for routine access. Price those resources at procurement time.

Agree whether a technician can isolate one cabinet while the rest of the screen runs. Document restart, source bypass and processor-backup procedures. Train the local team to identify a signal failure, power failure and module failure without unsafe live work.

A five-year budget worksheet

Carry separate annual lines for electricity, scheduled inspection, cleaning, support contract, callouts, replacement spares, access equipment and software. Add shipping and import costs in the acquisition year. Keep contingencies visible rather than hiding them in a guessed percentage.

How much electricity will an LED screen use?

There is no reliable universal figure. Use maximum and stated average data for the exact offered configuration, then apply documented hours and the local tariff.

How many spare modules should I buy?

Ask the manufacturer to recommend a quantity for the exact wall and support lead time, then price it. More remote sites and longer replenishment times justify a different plan from a locally supported installation.

Does a longer warranty remove maintenance cost?

No. Labor, access, diagnosis, freight, consumables and downtime may sit outside parts coverage. Read the full remedy and exclusions before comparing warranty terms.
