Quick answer

Budget export crating, palletisation, moisture protection, marking, packing lists and export documents as separate project lines rather than assuming they sit inside the cabinet price. Request shipped crate weight, dimensions, count and gross weight, then ask for the packing scope and documents as named quotation items. Keep freight, flight cases and spares visible when you compare offers.

Keep Crating and Packing Separate From the Display Price

Treat export crating, palletisation, moisture protection, marking, packing lists and export documents as their own budget lines rather than folding them into the cabinet rate. EagerLED project quote requests show that freight, shipping and spares already sit in the commercial scope: the EA640H1 request asks for an itemised quote covering cabinets, controller, spare modules and freight; the EA1000H9 request asks for an itemised quotation including spares and shipping; the EA250WH5 page says price depends on spare modules and shipping; and the EA500C6 request asks for controller, spare parts, rigging, flight cases and freight to be identified. For budgeting, keep the packing scope visible as its own line beside those items.

When you compare LED screen quotes, require every bidder to price the same crate list, packing scope, document list and delivery address. A low cabinet total can hide packing that is excluded or specified differently. Keep the packing lines beside the display lines so you can see which party owns each step.

Start With Shipped Crate Data, Not Cabinet Weight

Cabinet weight is not crate weight. Documented cabinet figures include the EA640H1 640 × 480 mm cabinet at 6.7 kg and 48 mm deep; the EA1000H9 500 × 1000 mm cabinet at 12 kg on indoor models and 13 kg on outdoor models; the EA500C6 500 × 500 mm cabinet at 6.5 kg indoors or 7.3 kg outdoors; and the EA250WH5, whose 250 mm-high formats weigh 3.0 to 5.7 kg while the 500 mm-high formats weigh 5.3 to 10.5 kg. Use these only to understand the cabinets, not the shipment.

Ask the supplier for the shipped crate weight, crate dimensions, crate count, and net and gross weight per crate. Then feed those figures into your shipping and running cost model rather than estimating from the cabinet list. If different cabinet formats are mixed, request a separate line for each format so the crate list matches the order.

Export packing budget lines and evidence to request

Budget line What to request
Crating Ask for crate design, material, internal blocking, stacking limit and whether the crate is one-way or returnable.
Palletisation Request pallet or base dimensions, loaded weight, forklift access points and whether the pallet is included in the crate line.
Moisture protection Request barrier film, desiccant, humidity indicator and resealing method as named lines.
Marking Request crate or carton marking content, language, handling symbols and packing-list reference.
Packing list Require model, pitch, cabinet quantity, spare content, crate number, net weight and gross weight.
Export documents List commercial invoice, packing list, certificate of origin and any buyer-required declaration as named deliverables.
Inspection State whether pre-shipment inspection is included, who attends and what report is issued.
Freight and flight cases For the EA500C6, ask the itemised quote to identify flight cases and freight; for the EA640H1, ask for freight in the itemised quote.

Define Packing Scope, Handling Features and Accessories

Define the packing scope before you compare prices. Name the crate or case type, pallet or base, internal blocking, edge protection, moisture barrier, desiccant, sealing method, and whether the packing is one-way or returnable. For rental inventory, align this with your flight-case specification. These are commercial choices, so ask each supplier to state what is included rather than assuming a standard.

Some handling features belong to the cabinet, not to the packing. The EA1000H9 has handles, locating slots and corner protection. The EA500C6 has four corner protectors, aluminum handles, stainless steel screws and quick locks. The EA640H1 and EA250WH5 are front-service designs, with modules removed from the viewing side using a vacuum tool on the EA640H1 and a suction tool on the EA250WH5. Do not treat cabinet handling features as evidence of crate protection.

Documentation, Marking and Inspection Lines

Ask for a packing list that ties every crate or pallet to the exact cabinet model, pixel pitch, cabinet quantity, spare content and crate number. The list should show net and gross weight and reference the packing list number on the crate marking. This makes it possible to check the shipment against the order without opening every crate.

Export documents are procurement inputs, not display specifications. Ask which commercial invoice, packing list, certificate of origin, declaration or marking schedule will be issued, who prepares each document and when the draft will be available. Use the same document list for every bidder so a quotation cannot look cheaper by leaving documents out; then keep those document lines visible in your landed cost and customs budget.

The EA500C6 request asks for an itemized quote that identifies the controller, spare parts, rigging, flight cases and freight. It does not establish that packing documents or inspection are included, so add any document, marking or inspection line you need if it is not shown.

How to Compare Export Packing Lines

Use the same packing and document scope on every bid so the comparison is meaningful. The table below lists the lines to request from each supplier.

Scenario Checks for Different EagerLED Orders

The scenario table links the packing request to the exact documented order inputs. Treat each model separately because cabinet weight, format and quote inputs change.

Order scenarios and what to confirm

Scenario What to confirm
EA640H1 indoor wall The quote request covers cabinets, controller, spare modules and freight. Request crate data for the 640 × 480 mm, 6.7 kg, 48 mm cabinet.
EA1000H9 rental wall The quote request includes spares and shipping. Confirm crate or flight-case scope for the 500 × 1000 mm cabinet at 12 kg indoors and 13 kg outdoors.
EA500C6 rental fleet The quote request asks for rigging, flight cases and freight. Confirm packing for the 500 × 500 mm cabinet at 6.5 kg indoors or 7.3 kg outdoors.
EA250WH5 shallow indoor wall Price depends on spare modules and shipping. Request crate data for 250 mm-high formats at 3.0 to 5.7 kg or 500 mm-high formats at 5.3 to 10.5 kg.
Mixed cabinet formats List each format, quantity and crate count separately so the packing quote matches the cabinet matrix.
Export documents Ask which documents are issued with the shipment, who prepares them and when drafts are available.

Buyer checklist

  • Separate crating, palletisation, moisture protection, marking, packing list and export documents from the cabinet price.
  • Ask for shipped crate weight, dimensions, count, and net and gross weight per crate.
  • Name the exact EagerLED model and cabinet format, such as EA640H1, EA1000H9, EA500C6 or EA250WH5.
  • For the EA500C6, ask the itemised quote to identify flight cases and freight.
  • Request the packing list fields and crate marking content before shipment.
  • Compare quotes on the same packing, document and delivery scope rather than the cabinet total alone.

Frequently asked questions

Can I use EA640H1 or EA500C6 cabinet weight to estimate crate weight?

No. The EA640H1 cabinet is listed at 6.7 kg and the EA500C6 at 6.5 kg indoors or 7.3 kg outdoors, but those are cabinet figures. Ask the supplier for shipped crate weight, dimensions and count for the actual shipment.

What packing lines should be itemised for an EA1000H9 rental order?

The EA1000H9 quotation request asks for spares and shipping, but that does not price crating, pallets, moisture protection or documents. Add packing, marking, packing-list and document lines separately if they are not shown.

Does an EA250WH5 quotation include export documents?

The EA250WH5 page says price depends on pixel pitch, wall size, cabinet quantity, control system, spare modules and shipping. It does not establish that export documents, crating or palletisation are included, so request those as separate lines.

How should palletisation be compared between suppliers?

Use the same pallet or base dimensions, loaded weight and forklift access assumptions on every bid. Ask whether the pallet is included in the crate line and whether it is one-way or returnable.

What should a packing list show for an LED display order?

It should tie each crate or pallet to the cabinet model, pitch, quantity, spare content, crate number, net weight and gross weight. Use that list to check the shipment against the approved order.

Should pre-shipment inspection be a separate line?

If you require inspection, ask for its scope, attendance and report as a named line. The EA500C6 quote request identifies controller, spare parts, rigging, flight cases and freight, but it does not establish that inspection or documentation is included.
